Program Coordinator

Join the EWF25 team as Program Coordinator, where you’ll help our incoming Artistic Director and the rest of the EWF Team deliver our 2025 Emerging Writers’ Festival.

  • Part-time, ongoing
  • $48,000 pro-rata plus statutory superannuation
  • Beginning January 2025 (with KPIs covering 2025 & 2026 Festivals)

About The Role

The Program Coordinator provides support to the Artistic Director in managing guests and events across the festival program, including artist liaison and box office management. The Program Coordinator is responsible for implementing a range of organisational administrative systems and processes. Working closely with the Artistic Director and Executive Director, they will help to ensure the smooth running of the organisation and a continuous flow of information between staff, artists, and key stakeholders.

This is a development role for an emerging arts programmer or producer. We want to hear from you even if you feel that, after reading the Position Description, you aren’t 100% the perfect candidate but are keen to develop your skills during your time in the role, and that you have something to offer.

Selected Key Role Responsibilities

The Program Coordinator reports to EWF’s Executive Director and Artistic Director, with responsibilities in programming and curation as well as administration and finance.

  • Assist the Artistic Director with artistic programming for all EWF programs, including interstate programming.
  • Read and assess artist applications from the open artist call-out.
  • Coordinate and communication between the Festival and Festival artists, including drafting and sending artist invitations and letters of agreement.
  • Manage artist travel and accommodation requirements.
  • Deliver the events to a professional standard within the festival period.
  • Speak publicly about the Festival when required, including during the Program Launch, Opening Night, to the media, the Board and funding bodies.
  • Maintain the organisation’s front line contact, including telephone, mail and email. Undertake general financial tasks, including filing, data entry, and spreadsheet tasks.

Desirable Skills

  • A knowledge of the Australian literary sector and an interest in EWF’s purpose.
  • Experience in developing an artistic program, with a commitment to diversity and inclusion.
  • Experience in events delivery, including project management, artist liaison, budgeting and administration.
  • Excellent time management skills, with the ability to work under pressure to meet festival deadlines.
  • Ability to work independently with minimal supervision, with excellent attention to detail.
  • Outstanding written and verbal communication skills with the ability to liaise with a wide array of key stakeholders.

Volunteering & EWF

Since our 2022 festival, EWF’s (unpaid) Volunteer Program has been re-developed into an ongoing partnership with RMIT University’s schools of Media and Communication: Creative Writing, Masters of Writing and Publishing, and Professional Writing and Editing in order to provide development within the literary sector to festival volunteers that is more structured and equitable.
